Any Dealers that apply after August 31, 2016 will be added to the waitlist

(Waitlist Applicants will be contacted by October 1, 2016 if we have any additional space)



Any dealer that fails to pay the full amount of the booth space fee by the deadline(September 30, 2016) relinquishes 

their claim on their booth space. If this occurs, a dealer on the waitlist will then be contacted and will have 

one week to submit their payment to claim the available booth space.


POLICIES (READ THESE CAREFULLY BEFORE REGISTERING!)

Even one violation of these policies can result in the dealer being removed from the Vendors Room(and the convention/GPEC) at the discretion of the Vendors Room staff. If an individual is removed, they forfeit all fees and will receive no refund for their table or registration. 


The Vendors Room will be located in the Hall D of The Greater Philadelphia Expo Center(GPEC).


General Policy: 

As pertaining to the rest of the convention, while in the Vendors Room all convention, local, state, and federal rules, policies, and laws apply(basically, what’s illegal outside is still illegal inside, no ifs, ands, or buts about it). If a dealer breaks any convention rules, he or she will be dealt with at the discretion of the Nijicon staff. If a dealer breaks any laws, he or she may have to deal with PA law enforcement, and possible prosecution. Nijicon, Inc. does not condone any dealer’s transgressions.


Behavior: 

This is an adult convention, so please act accordingly. No running, screaming, yelling, horseplay, lewd or explicit acts, or use of obscene language will be tolerated. It is also expected that, as with any other area of the convention, all dealers will be courteous and polite to each other, the staff, and all other attendees. 


ID Policy: 

All dealers must show a government-issued, photo ID to check into the Vendors Room. This is to verify who they are as well as verify that they can sell adult wares(if it applies). If a dealer cannot produce a valid ID at check in, their booth(s)will be held until NOON on Saturday, at which point the booth(s) will be considered unclaimed. The booth will then be put up for sale on a first come, first served basis. 


Accepted forms of ID are limited to:

- A state drivers’ license 

- state-issued identification card 

- a passport 

- military ID 


The name on the I.D. must match the name of the registrant/company representative that registered for the Dealers Room booth(s)


Age Policy/Restriction: 

In accordance with Pennsylvania state law, a person must be at least 18 years old in order to sign a contract or enter into any legal agreement. Therefore, any person who is not 18 must have an adult sign the dealer’s agreement on their behalf. The adult who co-signed the agreement must be present to check-in for the booth(s) and accept responsibility for any failure of the under-aged dealer to comply with all convention policies as well as applicable laws. In addition, an adult must be present at the booth at all times. If at any time, the Vendors Room staff finds an unaccompanied minor alone at their booth for a prolonged length of time they will be removed from the Vendors Room, and the associated booth(s) will be immediately forfeit. 


And since this is a 16+ convention, NO dealer under the age of 16 (at the time of the convention) will be allowed into the Vendors Room (or the convention itself) under any circumstances.


Under these same guidelines, no dealer under the age of 18 may sell art that is mature in nature(including, but not limited to excessive violence and pornography/strong sexual themes). In accordance to Pennsylvania state law, a person must be 18 years old to sign a contract. So, any dealer that is under 18(age 16-17) must have an adult(18+) fill out a space request and agree to the Nijicon Dealers agreement on their behalf. The adult that co-signed the agreement, must be present at Dealer check-in, remain present at the booth throughout the entire duration of Nijicon, and accept all responsibility for the minor’s actions in compliance with Nijicon policies as well as the policies of GPEC and all local/federal laws.



BOOTHS:


Number of Booths: 

Due to the size of the venue, a single dealer is allowed a maximum of one booths. Each booth consists of one 12 ft x 12 ft space with one 6 ft x 2 ft table and two chairs. If additional space is needed, please contact the Vendor's Room staff.


Cost: 

All booths are $300 each and includes one Nijicon dealer registration and one assistant registration. Any additional assistants(limit one) must register for the convention separately.  Failure to pay the booth fees by the deadline will result in forfeiture of the reserved booth space.


Badges: 

Dealer’s badges must be worn at all times by all dealers. Each booth comes with two dealer’s badge. Once again, assistants(limit of one) must register separately.


Number of people/booth:

There may only be three people within each booth space at any time and all three must be wearing a dealer’s badge.

If more assistants are needed to operate the booth, please contact Vendors Room staff 


Table Size: 

Each booth comes with one table, roughly 8ft long by 2ft wide(These dimensions are subject to change depending on what is supplied by the decorator). 


Chairs: 

Two chairs are provided with each table. You may bring your own additional table. 

Additional chair/table can be requested, but are limited.


Transfer of booths:

Booth transfers are not allowed. 


Booth refunds:

All booths are non-refundable. 


Personal Property/merchandise:

You are responsible for watching your own personal property and merchandise. Nijicon, the Vendors Room Staff, and the GPEC staff are not responsible for any lost, damaged, or stolen items. The rooms are locked, however it is not recommended to leave money and valuables at your booth unattended. You are responsible for moving your merchandise, supplies, and equipment into and out of the expo center.  

It is highly recommended that you bring any necessary carts or hand trucks to move your equipment/merchandise.


Booth Signage:

All booth signage should match the information that you registered with. For example: If you put down on your application that you are “Company A” but all your signs say that you are “Company B” this will be seen as a booth transfer. Signage that does not match your registration must be removed. 


Advertising/Promotions:
By participating in Nijicon's Vendors Room, all dealers agree that their provided names/aliases, logos, and art may be used in the Vendors Room listing on the website and in the convention booklet to promote the convention as well as their appearance. All promotional materials(including, but not limited to, names/aliases) remains the property of their respective owners and are only being used temporarily.


Additionally,

The Vendors Room is intended to showcase a variety of dealers, therefore any violation of this policy which can be proven in the eyes of the Department Head of the Vendors Room and other relevant parties will be grounds for immediate expulsion from the Vendors Room and the convention. It may also result in the dealer being banned from participating in the Vendors Room in the future. 



The following items are PROHIBITED from sale within the Nijicon Vendors Room(pretty standard here): 


- "Knockoff" or bootleg merchandise. This includes bootleg videos (i.e. bootlegged videos recorded on blank videotapes with printed labels; "homemade" DVDs, pirated copies of any titles that have been released commercially anywhere; titles taped off the air, and any and all “fan subs”).


- Unlicensed reproductions of any products that have been released by any company.


- Any posters, idol cards, etc., which read "Kodak", "Fuji", etc. on the back.


- Food, snacks or beverages(even if they are pre-packaged). 


- Any medical devices, such as colored/costume contacts.


- Stickers or any other adhesive product


The following items MAY be sold: 


- Any properly licensed US products.


- Any legitimately licensed imported merchandise.


- Any products featuring your own creations.


- Artwork featuring your original character(s) and or fan art featuring licensed characters(details for fanart can be found in the Artist Alley policies)


- Gently-used merchandise(however it must be clearly marked as such and must be in accordance with all other Vendors Room policies)



Adult Materials Policy: 
Nijicon is a 16+ convention so mature art/products are permitted. 
However, since some attendees will be 16-17 years old and considered minors, all visible art/products must be PG-13. 

Mature/adult products and art can only be sold to attendees wearing the 18+ wristbands.
(This validates that they have been identified via photo ID that they are at least 18 years old)

Therefore, Nijicon asks that all exhibitors please keep this in mind when setting up. The acceptability of displays of adult materials is at the sole discretion of the Department Head of the Vendors Room. Any materials which are sexually explicit, extremely graphically violent, or otherwise unsuitable for minors must be displayed in a manner that keeps these minors from seeing them. 

Also, dealers must provide opaque envelopes/sleeves/bags for any mature art and products that are sold. 
The convention is 16+, however the convention/expo center may have minors about at any given time.

If any of these materials are found left out in the open, or the Vendors Room staff receives complaints, the dealer will be reminded about the adult materials policy ONCE. If any dealer sells inappropriate materials to minors, they will be removed from the Dealers Room as well as Nijicon itself. They may also be held accountable under Montgomery county/Pennsylvania state law. 

No-Shows: 

If a dealer fails to check in for their booth by noon on Saturday, they will be considered a “No-Show”. 

At that point, their booth(s) will be offered for sale(cash only) at the at-con rate on a "first-come, first-serve" basis. 

Lost booths cannot be reclaimed, and neither credit nor refund will be given for No-Show booths.
 
“No-Show” booths will be sold in the Vendors Room at a time and location to be announced Saturday morning. 
Please do not line up in the Vendors Room until this time.

Unsold Booths: 

If there are any unsold booths, they will be offered for sale during the Vendors Room check-in on Friday evening. 

Unsold booths are sold on a "first-come, first-serve" basis and are subject to the same limitations as normal booth sales. 

Dealers Early Access: 

In addition to the set-up time allotted on Friday (all dealers must check-in before any intial setting up)
dealers are permitted early access to the Vendors Room for setup and preparation on both Saturday and Sunday morning. 

Early Access(Saturday and Sunday) is two(2) hours before the Vendors Room opens. 
Dealers caught in the Dealers Room before this time can be subject to forfeiture of their booth(s) without a refund. 

Hours of Operation: 


Friday set up: 5:00pm to 10:00pm – Artists/Dealers only 


Saturday: 10:00am to 12:00pm – Artists/Dealers only. 

*11:00 VIP(early Access)*

12:00pm to 8:00pm – Open to the General Public. 

8:00pm to 9:00pm – Artists/Dealers only. 


Sunday: 9:00am to 10:00am – Artists/Dealers only. 

10:00am to 3:00pm – Open to the General Public. 

3:00pm to 5:00pm – Artists/Dealers only. 

*Please note that all dealers(along with their merchandise, equipment, structures, trash etc.) must be out of the Vendors Room by 5:00pm on Sunday.  

Anything left behind will be disposed of accordingly.


Structures: 

We welcome your creativity to Nijicon, however please make sure that all structures are stable(we don‘t want any accidents). If any structure that is brought to display artwork/products falls down, appears unstable, or extends more than six feet above the provided table, the dealer to whom it belongs will be asked to remove it by the Vendors Room staff. In addition, all displays must reside within the confines of your booth area. Displays may not impede upon other dealer’s areas nor disrupt traffic flow in case of an emergency.


NO BALLOONS OF ANY KIND ARE ALLOWED IN THE VENDORS ROOM/GPEC.

Any vendor who violates this policy will be subject to fines from GPEC for balloon removal from the high ceilings


Noise: 

To maintain a comfortable noise level, any excessively loud music, videos, etc. will not be tolerated in the Vendors Room. If the amount of sound coming from any one booth is found to be disruptive(at the discretion of the Nijicon Staff) the artist(s) will be asked to lower the volume. Subsequent noise violations(after the initial verbal warning) may result in the dealer being removed from the Vendors Room and convention. 


Giveaways/Raffles: 

Any dealer who wishes to have a giveaway, raffle, or prize distribution of any kind must contact the Vendors Room staff via email at least two weeks before the convention for approval. No requests for giveaways, raffles, etc. will be granted at the convention and any dealer holding an unauthorized giveaway will be subject to removal from the Vendors Room and convention. 


Photography: 

Photography and video recording of vendor merchandise is not permitted within the Vendors Room.

(The only exceptions may apply to press coverage, in which case dealers will have the right to opt out)


Signs: 

Signage placed within the Vendors Room is to be used only as intended by Nijicon staff. Dealers are only allowed to place signs on their table displays(no signs or artwork is to be displayed on the walls of the hotel)


Substance Use: 

Once again, anything illegal outside the convention is illegal inside the convention. Smoking or use of alcohol or drugs while in the Vendors Room(or any other part of the convention) is PROHIBITED. Violations will result in removal from the Vendors Room and convention. 


TAXES:


All dealers are responsible for being in accordance with all local, state, and federal law.

CANCELLATION OF THE EVENT:


If for any reason the event is cancelled, all vendors will be contacted once a decision is made. No refunds will be given, however, they will have the option to be in the Vendor's Room for the next show of Nijicon(details will be provided if this course of action is necessary).


Changes: 

Nijicon and the Head of the Vendors Room hold the right to add, amend, or change these policies as they see fit, without prior notice. 


The Dealers Room staff will consistently monitor the Vendors Room for policy violations, and all observed and reported violations will be acted upon. Failure to comply with any part of these policies may result in action up to eviction from the Vendors Room and convention. 



By applying to become a Nijicon Dealer, you agree to these terms listed above as well as the General Rules and Regulations of the convention.
